  • Chai Book is a tool for ordering and record-keeping between a tea or coffee Store and the offices it serves.
  • The Store sets its prices, serves the orders and collects payment directly. Chai Book does not handle money.
  • Keep your own records too. The nightly email backup helps, but you are responsible for your business accounts.
  • Use the Service fairly and lawfully.

1. Agreement

These Terms are an agreement between you and ENCODEWORK SYSTEMS LLP ("we", "us") for the Chai Book mobile apps, website and servers (the "Service"). By creating an account or using the Service, you agree to these Terms and to our Privacy Policy. If you use Chai Book on behalf of a business, you confirm you are allowed to accept these Terms for it.

2. The Service

Chai Book lets a tea or coffee store ("Store") publish its products, receive requests from customers in the buildings it serves ("Customers"), create bills, keep a monthly ledger for each office, record payments and share receipts. Customers connect to a Store by scanning its QR code or entering its store code.

Chai Book is a software tool. We are not a seller of food or drinks, a delivery service, a payment service or a party to any transaction between a Store and its Customers.

3. Accounts

  • You sign in with Google or Apple. You must be at least 18 years old.
  • Give accurate information and keep it up to date, including your office number and the Store's contact details.
  • You are responsible for activity on your account and for keeping your phone and sign-in account secure. Tell us promptly at info@encodework.com if you think your account has been misused.

4. Stores

If you register a Store, you agree that:

  • you are responsible for your products, prices, food safety, licences, taxes and service to your Customers;
  • you will create bills that match what was actually served, and record payments accurately;
  • you will use Customer information only to serve and bill those Customers, and keep it confidential;
  • you will show your one-time QR code only to customers you agree to serve, and handle Customer questions and disputes about orders or bills directly;
  • you are responsible for anyone you give access to your Store.

5. Customers

  • Send requests only for things you intend to receive, and only for your own office.
  • You can have one pending request at a time. Wait for it to be completed or cancelled before sending another.
  • Bills created by the Store are added to your office's account. Check your bills in the app and raise any problem with the Store promptly.
  • Queue positions and waiting times are estimates and may change.

6. Prices, bills and payments

  • Each Store sets its own prices. The price on a bill is the price at the time the bill was created.
  • Payments are made directly between Customers and the Store, by cash, UPI, bank transfer or any other method they agree. Chai Book only records payments the Store enters; it does not collect, hold, transfer or refund money.
  • Unpaid amounts carry forward to the next month until paid. Any dispute about an amount is between the Store and the Customer. We can help by explaining what the records show.
  • Cancelled bills are reversed in the ledger and stay visible as cancelled.
  • The nightly pending-payment email and in-app reports are provided to help Stores keep track. Stores remain responsible for keeping their own business and tax records.

7. Acceptable use

Do not:

  • break any law, or use the Service for anything fraudulent, abusive or harmful;
  • send fake or spam requests, or impersonate another person, office or Store;
  • upload content that is unlawful, offensive or that you do not have the right to use;
  • try to access other people's accounts or data, probe or overload our systems, or bypass security or limits;
  • copy, resell or reverse engineer the Service, except where the law allows.

8. Your content

You keep ownership of the content you add, such as store details, product names and photos. You give us a limited licence to store, display and process it only to run and improve the Service. You confirm you have the rights to anything you upload. We may remove content that breaks these Terms.

The Chai Book name, logo, apps and software belong to us and are protected by law.

9. Fees

Chai Book is currently free to use. If we introduce paid features, we will tell you in advance and you can choose whether to use them. Your mobile data and network charges are your own.

10. Availability and changes

We work to keep the Service available and accurate, but it may sometimes be interrupted for maintenance, updates or reasons outside our control, and features may change. We may update these Terms. If changes are significant we will notify you in the app, and continuing to use the Service after that means you accept the updated Terms.

11. Suspension and termination

You can stop using Chai Book at any time and ask us to delete your account by emailing info@encodework.com. We may suspend or close accounts that break these Terms or put other users or the Service at risk. Billing records may be kept as described in our Privacy Policy. Sections that by their nature should continue (such as payments, disclaimers and limitation of liability) survive termination.

12. Disclaimers

The Service is provided "as is" and "as available". To the extent the law allows, we do not promise that it will be uninterrupted, error-free or meet every need, and we are not responsible for the food, drinks, service, prices or conduct of any Store or Customer.

13. Limitation of liability

To the extent the law allows, we are not liable for indirect, incidental or consequential losses, or for loss of profits, revenue or data, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the 12 months before the claim, or ₹1,000 if you paid nothing. Nothing in these Terms limits liability that cannot be limited by law.

14. Indemnity

If you break these Terms or the law, or a dispute arises between you and another user, you agree to cover reasonable losses and costs that we incur as a result, to the extent the law allows.

15. Governing law

These Terms are governed by the laws of India. Disputes will be subject to the jurisdiction of the courts of India. Before going to court, please contact us so we can try to resolve the issue informally.
